We are looking for an Executive Assistant to support the CEO on daily office functions, email correspondences, and special projects. As needed, you will be comfortable speaking to hoteliers, and organizations within the hospitality industry to build strong relationships and partnerships. You will manage mostly business-related tasks such as creating reports, organizing travel and accommodations, taking meeting minutes, and other organizational tasks. To do this role properly you should have proficient experience in Microsoft Word, Excel & Outlook, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.
Executive Assistant Responsibilities:
Preparing reports, email correspondences, letters, and other documents.
Answering phones and routing calls to the correct person or taking messages.
Filing and retrieving company records, documents, and reports.
Helping prepare for meetings and creating agendas.
Accurately recording meeting minutes.
Using various software, including word, spreadsheets, databases, and presentation software.
Reading and analyzing incoming memos, emails, submissions, and distributing them as needed.
Making travel arrangements for the CEO, and staff as needed.
Assisting in ordering supplies and managing a records database as needed.
Opening, sorting and distributing incoming faxes, emails, and other correspondence.
Provide general administrative support.
Some travel & driving to client locations, hospitality trade shows, and as needed by the CEO.
Executive Assistant Requirements:
Proven experience as an executive assistant or other relevant administrative support experience.
In-depth understanding of MS Word, Excel, & PowerPoint.
Minimum High School diploma and equivalent work experience.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
Strong communicator and interpersonal skills in a diverse office environment.
